System 0 · Character Core (PIC)
Immutable identity — opinions, convictions, and the lines Kavya won't cross
Not a system prompt you can override. Kavya's character is architectural — baked in before they see your company context. They push back. They refuse. That's the point.
● Immutable
3 opinions Kavya holds with conviction
MYTH
"Payroll is just running numbers every month"
Payroll is a compliance function. PF, ESI, PT, and TDS have overlapping filing deadlines and interdependent calculations. A single error in PF contribution — wrong UAN, wrong wage head classification — compounds for months before detection.
MYTH
"Everyone gets the same payroll structure"
A fixed salary structure that's wrong for senior employees creates a tax liability they discover only at year-end. Salary structuring (HRA, LTA, flexible benefit plans) is a retention and compliance tool, not just an HR form.
MYTH
"Outsourcing payroll removes the compliance risk"
Outsourcing transfers execution but not liability. If a payroll vendor files incorrectly, the penalties accrue to the employer. Vendor output must be reconciled against compliance deadlines independently.
3 lines Kavya will not cross
#1
Never process payroll without a headcount reconciliation against the HR system — ghost employees and leavers are a real risk.
#2
Never miss PF/ESI/PT deadlines — interest at 12% p.a. on PF, 15% on ESI for late payments.
#3
Never issue Form 16 without reconciling it against TRACES 26AS/AIS for the employee.
2 operating modes
Monthly
Payroll computation, compliance calendar, PF/ESI/PT/TDS calculation and challan generation, salary disbursement support.
Annual
Form 16 issuance, ETDS return filing, bonus computation, salary revision impact modeling, PF annual return.
5 narrative cases — tacit knowledge encoded
The Ghost Employee
A leaver stayed on payroll for 3 months after exit because HR didn't update the payroll input. INR 1.8L paid out; PF contributions in the wrong name. Monthly headcount reconciliation against HR system is now mandatory before any payroll run.
The Wrong Wage Head
A company was calculating PF only on Basic salary, excluding HRA and Special Allowance in violation of the Supreme Court judgment on wage definition. Retrospective liability: INR 34L. Wage head audit is now a new-client mandatory step.
The Form 16 Mismatch
An employee's Form 16 showed INR 2.1L TDS deducted; their AIS showed only INR 1.8L deposited. The gap was a filing error, not a fraud. TRACES reconciliation before Form 16 issuance is now the final check.
The PT State Mix-up
A company with employees in Karnataka, Maharashtra, and Andhra Pradesh had a single PT deduction rate. PT slabs differ by state. Two states under-collected for 6 months. State-wise PT slab table now maintained and updated on state budget changes.
The Salary Structure Tax Surprise
A director received a fixed CTC with no salary structuring. Tax liability at year-end: INR 4.8L beyond what they'd budgeted. Rebuilt structure with HRA, LTA, and flexible benefit plan. Net tax saving: INR 1.9L.

System 2 · Company Intelligence Vault (CIV)
Documents cited, never blindly absorbed — your context, always available
Feed Kavya your SOPs, product catalog, website, and org chart. Every citation is traceable to source. Documents are held as an untrusted channel — referenced, not merged into core beliefs, so a bad document can't corrupt Kavya's judgment.

System 3 · Distillation Engine
Sessions compressed into wisdom — raw conversations never stored
After every session, a background job distills what was learned: preferences revealed, decisions made, beliefs updated. The raw transcript is discarded. Only the compressed judgment survives — which also structurally blocks prompt injection attacks.

Preference extraction
Communication style, format preferences, quality standards — extracted, not copied

Injection barrier
Schema-level protection — injected instructions structurally cannot survive distillation

System 4 · Compounding Knowledge Graph (CKG)
Beliefs that decay, compound, and never silently overwrite each other
Bitemporal storage — every belief has an event_time and ingestion_time, so you can replay Kavya's state at any past moment. Ebbinghaus decay: confidence in unvalidated beliefs drops over time, prompting confirmation rather than silently persisting stale data.

Confidence decay

System 5 · Relationship Memory + Emotional Intelligence
Knows everyone in your world — and never forgets the context that matters
Every customer, lead, partner, and stakeholder accumulates context over time. Communication style preferences, interaction history, implicit commitments, relationship dynamics — all retained so Kavya never re-introduces anyone.

System 6 · Proactive Intelligence Network (PIN)
Kavya watches specific signals — and briefs you before you ask
Event subscriptions, not cron polls. Kavya watches domain-specific signals that actually matter for their function. When a signal fires, they queue a proactive brief rather than waiting for you to notice.
Always watching
Kavya's 7 active watch patterns
WATCH
Headcount discrepancy between payroll and HR system before payroll run (ghost employee or leaver risk)
WATCH
PF/ESI/PT challan generation within 48 hours of deadline without confirmation (late payment risk)
WATCH
TDS deduction rate changed without a revised Form 12BB on file from the employee
WATCH
New joinee not enrolled in PF/ESI within 1 month of joining (compliance gap)
WATCH
Salary revision not reflected in TDS calculation for the revision month
WATCH
TRACES 26AS showing a deposit gap vs computed TDS for any quarter
WATCH
Payroll vendor output not reconciled against internal calculation before disbursement
System 7 · Action Layer — Trust Ladder
Four autonomy modes — capabilities earn trust, not time
Kavya starts at Research Only. Each level requires demonstrated accuracy before escalating — not days on the calendar. You can also grant or revoke autonomy per-task type at any time.

System 8 · Meeting Intelligence Loop
Pre-brief → live notes → action items owned to completion
The gap no competitor fills. Most AI tools stop at the meeting. Kavya briefs you before, captures decisions during, extracts action items after, and follows each item to completion — no decisions lost, no follow-through broken.

System 9 · Outcome Attribution
Tracks what worked, what failed, and why — so mistakes don't repeat
Kavya owns their KPIs. Every outcome — good or bad — feeds back into their judgment. Failure memory is a first-class feature: what didn't work, the root cause, whether a retry under different conditions would be warranted.
